You go to upload a photo to a government form or a job site and hit a wall: "file size must be under 500KB." A modern phone photo is often 3 to 8MB each, so it won't pass as-is. The good news is that there's a clear way to shrink it without wrecking the quality.
First, understand this: resizing and compressing are different
There are two main ways to reduce file size, and they're separate dials. Telling them apart is the key.
- Resize: reduce the image's width and height in pixels. Dropping 4000×3000 to 1600×1200 cuts the size dramatically.
- Compress: keep the pixel count the same but lower the JPG quality value so the data is stored less densely.
Resizing makes the image physically smaller; compressing keeps the same dimensions but stores the information less precisely. You usually lose the least quality when you use both together.
The most effective order
Blindly cranking the quality down makes the whole image look grimy. This order shrinks the file while protecting quality.
- Step 1: Resize to a size that fits the use. For on-screen display, around 1600px wide is plenty.
- Step 2: If it's still too big, nudge the JPG quality down in stages: 80, then 70, then 60.
- Step 3: If it's a PNG but doesn't need transparency, just switching to JPG can more than halve the size.
Setting a target size directly
Manually tweaking the quality value and re-saving over and over is tedious. It's far easier to use a compression mode where you set a "target size" and it fits under that automatically. Realistic limits by use
Every destination has its own sweet spot. Use these as a guide.
- Online forms and applications: usually a 200 to 500KB cap; resize first, then set a target size
- Email attachments: keeping each image under 500KB makes the total easy to manage when sending several
- Job or profile photos: these often have aspect-ratio rules on top of a size cap, so check the ratio when resizing
- Blog or product images: for screen display, 1200 to 1600px wide at quality 70 to 80 is plenty
In short, first resize an oversized image down to a sensible pixel count, then finish off the remaining size with target-size compression. That's the path that costs you the least quality.
